Please take the time to read and understand the conditions of booking outlined below prior to completing the booking process.
By booking a tour or package with Visit South America, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you make a booking on behalf of other participants, you confirm that you have the authority to accept these Terms on their behalf.
1. BOOKING CONTRACT
Once written confirmation or receipt of the applicable deposit has been issued, the booking is considered confirmed and a binding contract exists between you and Visit South America. Please review your confirmation carefully and notify us of any incorrect or incomplete information. Passenger names must match exactly as shown on the passport.
You must be at least 18 years old to make a booking.
2. VALIDITY
All tour dates, itineraries, and prices are subject to change at any time. The final price will be confirmed at the time of booking and may include applicable surcharges.
You are responsible for reviewing your booking details and checking the Visit South America website at least 72 hours prior to departure, as minor changes may occur after booking.
3. DEPOSIT
A non-refundable deposit of USD 250 per person per trip is required to confirm a booking, or 50% of the total cost if the trip price is less than USD 250.
If a booking is made within 30 days of departure, full payment is required at the time of booking. Certain trips, including custom itineraries, may require different deposit amounts.
4. FINAL PAYMENT & ACCEPTANCE OF BOOKING
Final payment is due no later than 45 days before the departure date of the first service included in the booking.
If full payment is not received by the due date, Visit South America reserves the right to cancel the booking and retain the deposit as a cancellation fee. For bookings made within 45 days of departure, full payment is required at the time of booking unless otherwise stated.
If different payment terms apply, they will be clearly communicated prior to booking and reflected on the invoice.
5. PRICES, SURCHARGES & TAXES
Tour prices may change up to 30 days prior to departure. Prices are listed exclusive of applicable taxes unless stated otherwise.
After confirmation, surcharges may be applied due to increases in transportation costs, local operator costs, currency fluctuations, taxes, or government action. Visit South America will absorb price increases up to 2% of the original cost.
If a price increase exceeds 10% (excluding add-ons, insurance, and taxes), you may either cancel the booking without penalty or accept the revised price. Failure to respond within 14 days will be considered acceptance.
Discounts and promotional offers apply only to new bookings and do not apply to existing confirmed bookings.
6. DETAILS REQUIRED FOR BOOKING
To finalize your booking, Visit South America requires accurate personal information including full name as per passport, date of birth, nationality, passport details, and any medical conditions that may affect travel.
Failure to provide accurate or complete information may result in additional charges or cancellation without refund. Visit South America is not responsible for costs incurred due to incorrect or incomplete information provided by the participant.
7. AIRFARE
Tour prices do not include international or domestic airfare unless expressly stated. Airfare quotes are estimates only and subject to airline availability and terms.
Visit South America acts solely as a booking agent for airlines and is not responsible for flight schedule changes, delays, or cancellations.
8. CANCELLATION BY PARTICIPANT
Cancellations must be submitted in writing. Cancellation fees are determined by the date notice is received.
- 60 days or more before departure: Deposit retained as future travel credit
- 59 to 30 days before departure: Deposit plus 50% of remaining balance retained
- Less than 30 days before departure: 100% of total trip cost non-refundable
9. CANCELLATION BY VISIT SOUTH AMERICA
Visit South America may cancel a trip due to events beyond its control, including natural disasters, political instability, or safety concerns.
In such cases, participants may transfer payments to a future departure or receive a refund minus any unrecoverable costs. Visit South America is not responsible for incidental expenses such as visas, insurance, or non-refundable flights.
10. AGE REQUIREMENTS
Anyone under 18 years of age is considered a minor and must be accompanied by an adult. One adult may accompany up to two minors.
Unless otherwise stated, the minimum age for tours is 12 years. Visit South America does not provide supervision or care services for minors.
11. TRAVEL DOCUMENTS
Participants are responsible for ensuring they possess valid passports, visas, permits, and certificates required for all destinations.
Passports must be valid for at least six months beyond the trip duration. Visit South America is not responsible for denied entry due to documentation issues.
All participants must carry their original passport at all times during the trip. The passport is required by public and governmental services and operators, including but not limited to: domestic and international flights, buses, trains, archaeological sites, and other tourist sites and attractions.
If a participant does not carry their passport, Visit South America is not responsible for the loss of any service, nor for any additional costs arising from missing a service for this reason — including the purchase of new tickets of any kind to replace the affected services. By booking, the participant expressly acknowledges and accepts this requirement.
Visa requirements are a particularly sensitive matter. It is the sole responsibility of each participant to obtain their travel visas, take the necessary precautions, and carry out the appropriate research for every destination they will visit.
Visit South America is a travel agency and tour operator: we can accompany and advise participants on these matters, but the entry conditions of each country may change suddenly due to political, economic, or social circumstances. Participants must not assume that our agents are immigration officers, and our agents may make mistakes. Visit South America is therefore not responsible for the acquisition of visas, and participants must exercise all precaution on their own behalf.
12. FLEXIBILITY & ITINERARY CHANGES
Participants acknowledge that travel requires flexibility. Itineraries, schedules, accommodations, transportation, and activities may change due to circumstances beyond Visit South America’s control.
No refunds or discounts will be issued for unused services not caused by Visit South America.
13. ASSUMPTION OF RISK & LIABILITY
Participants accept that travel involves inherent risks. Visit South America is not liable for injury, loss, delay, or inconvenience caused by factors beyond its control.
14. OPTIONAL ACTIVITIES
Optional activities not included in the tour price are undertaken at the participant’s own risk and are subject to local operator terms.
15. FORCE MAJEURE
Visit South America is not responsible for failure to perform services due to events beyond reasonable control, including natural disasters, pandemics, strikes, or government actions.
16. PHOTOS, VIDEOS & MARKETING
Participants grant Visit South America permission to use images and videos taken during the tour for marketing and promotional purposes unless otherwise requested in writing.
17. CLAIMS & COMPLAINTS
Any complaints must be communicated as soon as possible during the trip to allow resolution. Claims submitted after completion of travel may not be considered.
18. SEVERABILITY
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue to apply.
19. APPLICABLE LAW
These Terms are governed by applicable local and international travel laws.
20. PRIVACY POLICY
Personal information is handled in accordance with Visit South America’s Privacy Policy and used solely for travel services and communication purposes.
